Compare Vendor Quotes with AI Beyond the Lowest Unit Price
Compare three fictional print quotes on the same quantity and delivery requirement. Keep unpriced services unresolved instead of inventing a winner.

Three suppliers quote different prices for an event flyer. One sells by the sheet, one by the pack, and one offers a low rate with delivery left unpriced. Asking AI to “pick the cheapest” before fixing the order requirements can produce a ranking of three different purchases.
Use AI to extract terms and organize a comparison. Keep the arithmetic and the missing terms visible so you can decide what the quotes actually establish.
Fix the purchase before comparing the suppliers
For this invented practice task, you need 120 A5 full-color flyers on 170 gsm paper, delivered to the event venue by October 23, 2026. Printing and delivery are required. The requester has already confirmed the artwork is ready. All amounts below use the same currency and are final tax-inclusive amounts for the stated services. These are author-written quotations, not live offers or market prices.
Supplier A: 1.20 per flyer, minimum order 100. A5, full color, 170 gsm. Delivery 18. Delivery by October 23 confirmed.
Supplier B: 28 per pack of 25 flyers. A5, full color, 170 gsm. Whole packs only. Delivery included. Delivery by October 23 confirmed.
Supplier C: 0.95 per flyer, minimum order 100. A5, full color, 170 gsm. Delivery cost to be quoted after receiving the address. Delivery date not confirmed.
This comparison has two gates: the order must meet the print specification and arrive by the deadline. A low price that fails either gate does not meet the request.
Ask for a common basis and source terms
Compare these quotes for 120 flyers delivered by October 23, 2026.
Use the required size, color, paper, and delivery as eligibility conditions.
For each supplier show:
- original pricing unit and minimum quantity;
- quantity we must purchase to receive at least 120;
- print subtotal, delivery cost, and known total;
- deadline status and any unresolved condition;
- the quoted phrase supporting each condition.
Show the arithmetic. Do not invent a delivery cost, assume a date,
or treat surplus flyers as a discount. Rank only fully priced options
that satisfy the requirements. Keep incomplete quotes separately.
The independently calculable reference comparison is:
| Supplier | Purchase quantity | Calculation | Known delivered total | Deadline |
|---|---|---|---|---|
| A | 120 | 120 × 1.20 + 18 | 162 | Confirmed |
| B | 125, five packs | 5 × 28 | 140 | Confirmed |
| C | 120 | 120 × 0.95 + unknown delivery | 114 plus unknown delivery | Unconfirmed |
B costs less than A for this particular required purchase, with five surplus flyers. C's print subtotal is lower, but a print subtotal is not a delivered total. Do not place C first in a final ranking before resolving delivery cost and timing.
Dividing B's pack price by 25 gives a unit rate of 1.12. Multiplying that by 120 gives 134.40, but you cannot buy 4.8 packs under the quote. The correct payable amount is 140. Ask AI to show purchase quantity as well as an effective unit rate; rounding only the final price would hide the order constraint.
Turn the unresolved quote into a question
A useful clarification to C is:
Please confirm the tax-inclusive delivery charge to our venue address and whether all 120 flyers can arrive by October 23, 2026. Please also confirm that the quoted A5, full-color, 170 gsm specification applies to this order.
This is an unsent draft. In a real purchase, supply the venue address through an appropriate channel before expecting a firm delivery quote.
For the exercise, C would beat B's 140 total only if delivery costs less than 26, because 140 − 114 = 26, and the deadline is confirmed. At 26, the known totals tie. Above 26, C costs more. This conditional threshold tells you what information could change the choice; it does not predict C's delivery charge.
Keep the decision attached to the requirement
The supported practice conclusion is: B is the lower-priced fully specified option among A and B; C remains pending. It is not a recommendation about real suppliers. If your real quotes use different currencies, paper grades, tax treatment, proofing services, or cancellation terms, resolve those differences before applying the arithmetic.
Before ordering, open each original quote and verify quantities, terms, and deadline confirmation. Ask AI to update the comparison after a supplier replies, while preserving the earlier quote and explaining what changed. A clean comparison table should make that final check easier, not replace the supplier's actual commitment.
